Open Window School – Facilities Manager

The Facilities Manager is service-oriented, responsible, proactive, and takes pride in their work and the campus.  With more than 340 students, the Facilities Manager should enjoy working on a school campus and meeting the year-round demands of an active school.  The position requires a strong technical aptitude, understanding of best practices in facilities management and maintenance, regulatory compliance oversight, contracting, and willingness and ability to perform physical duties as needed.  The position reports directly to the CFO and indirectly to the and Head of School.

Hours:

• Standard schedule is (10:00 am – 6:00 pm Monday – Friday).
• To accommodate the needs of the school, early mornings, evenings, and/or weekend work hours are periodically required to provide facilities staff support as needed with various building resources. This is an exempt position in which established monthly salary includes compensation for periodic work required outside of the normal work day.
• Infrequent on-call shifts in coordination with Assistant Facilities Manager. This may require answering phone calls and/or reporting to campus within 30 minutes, to respond to weekend and after-hours emergency calls.

This includes tasks regularly associated with this type of job, including, but not limited to: working inside and outside, walking, driving, climbing/ladders, squatting/kneeling, lifting/carrying up to 50 lbs, moving furniture, and shoveling. There is likely to be moderate exposure to dust, temperature variations, noise, inclement weather, and occasional exposure to chemicals, bodily fluids, and hazardous materials.
• Ability to troubleshoot electrical systems and perform basic electrical repairs and maintenance
• Ability to perform basic plumbing repairs and maintenance
• Basic carpentry skills
• Strong knowledge of commercial building codes and regulations.
• Working knowledge and understanding of the operational mechanics of commercial electrical, plumbing, HVAC, fire safety, and irrigation systems.

• Knowledge and experience with computer operated building systems including, HVAC, lighting, and security systems.
• Ability to review and understand engineering and architectural plans and manuals.

• Knowledge and familiarity with standard building maintenance and safety procedures and practices.

• Knowledge of compliance aspects related to facilities, including building, fire, construction codes, ADA requirements, and Safety Data Sheets and Global harmonizing System.

• Computer skills to complete tasks such as sending emails, managing schedules, internet searches and research, create and manage shared spreadsheets (excel) and documents (word), and manage on-line timesheet.
• Experience in the operation and maintenance of tools and equipment used in custodial, electrical, plumbing, HVAC, carpentry, painting and groundskeeping work.
• Experience in developing project contracts including requests for proposals, scope-of-work development, terms and conditions review, and proposal review, analysis and recommendations.
• Experience with vendor management, including ensuring work completed meets the terms of the contract.
• Work is generally performed in a combination shop/office environment with time spent at a desktop computer. Time spent walking throughout buildings and property for daily oversight and inspections.

Duties and Responsibilities:

• Facilities Maintenance Program:
• Oversee maintenance and preventative maintenance of building systems and plant, including mechanical, electrical, water, security, structures and grounds.
• Coordinate facilities maintenance, supplies, furnishings and equipment requests and manage response and completion status;
• Prepare and/or review equipment and service contracts with outside facilities vendors and independent contractors and monitor compliance to contractual terms.
• Manage the operating facility budget and the long-term building repair and replacement reserve plan.
• Proactively inspect and review the campus on a daily/weekly basis and take initiative to make identified corrections and take preventative measures.
• Administer Safety Program:
• Oversee safety systems and protocols.
• Advise on safety issues and develop plans, procedures, and policies for ensuring safe and compliant practices.
• Coordinate and conduct periodic building wide safety inspections for compliance with all safety, regulatory, and operating policy requirements.
• Maintain the building fire detection, prevention, and monitoring systems, and serve as the point of contact for emergency response information.
• Oversee Equipment Installations and Building Modifications:
• Direct the installation of all equipment in the facility.
• Oversee building and building system modifications. Coordinate building system interruptions to minimize impact and assure integrity of operations.
• Supervise the negotiation and bid process for construction and renovation contracts; and administer such contracts. Maintain liaison with architects, engineers and contractors/subcontractors engaged in facility expansion, renovation, or other major projects. Acts as principal point of contact in such efforts to ensure the interests of School are protected.
• Update operating and safety policies to reflect modifications.
• Compliance, Administration, and Other Duties:
• Hire, schedule, and supervise all facilities department staff, including performance evaluation.
• Maintain security access system for the facility and limited access areas.
• Regularly monitor services for compliance with health and cleaning standards and contract.
• Manage all regulatory inspections and reporting requirements.
• Develop and maintain facility policies and procedures for all facilities operations, including an overall operating plan.
• Implement and administer a work-order tracking system for all Facilities and Safety related tasks.
• Perform trend and root cause analysis on work order history in order to drive predictive maintenance programs.
• Oversee and comply with current federal, state, and local laws, rules, and regulations affecting the handling, use, storage, monitoring, recordkeeping, disposal, and presence of chemicals and materials used on campus.
• Operate ATV snow plow, snow blower, rental lifts, and other school equipment as necessary.
• Move furniture, equipment, and supplies as needed.
• Serve on the Facilities Committee and the Safety Committee.
• Regularly report to CFO on operational, budgetary, and compliance issues.
• Complete additional tasks as assigned.

Qualifications:

• A Bachelor of Science degree or Trade College certification in construction management; mechanical, civil, or industrial engineering; business, or related field.
• A minimum of five years of increasingly responsible experience in Facilities Management, including two years in a supervisory or managerial role.
• Preference will be given to candidates who possess Facility Management Professional (IFMA) or Certified Facility Manager (IFMA) credentials.
