The Division Facilities Operations Manager will support the laboratories and offices in the Division of Biology and Biological Engineering by managing lab and office renovations and equipment support across six buildings.
This is a Campus Critical position. An employee designated as campus critical is expected to be aware of the campus emergency management plan and to report to campus as soon as possible to assist in campus wide response and recovery efforts.
Laboratory and office renovations: working with Design and Construction, manage projects from inception, design, planning to completion, advocating for the PIs and division and monitoring expenses, keeping division leadership aware of progress, problems, etc. Ensure the needs of the PIs are fully integrated into the project, including casework, millwork, data and power requirements, lighting, carpet, and paint, VCT tile, acoustic ceilings, HVAC, built-ins, etc. Creating a punchlist, follow-up to ensure remaining items are completed by all parties before division sign-off. For smaller jobs, act as project manager, coordinating all aspects of MEP requirements. Coordinate with other divisions as needed.
Laboratory relocations: within Caltech or external moves to or from Caltech; schedule out timelines, coordinate with labs to ensure all safety protocols are followed, chemicals and samples are moved safely, facilitate between vendors and movers along with internal units (e.g., Transportation, Custodial Services, Physical Plant, Lockshop) as needed.
In coordination with the office of Environmental Health and Safety (EHS), oversee or contract out laboratory cleaning and decontamination of all surfaces, products, equipment; manage collection of hazardous materials and e-waste.
Acquisition of furniture and new lab equipment; secure and compare quotes; review specs for proper placement, stability, power, and heat load requirements; troubleshoot repairs with vendors, or internal units (e.g., Facilities) ordering parts/accessories as needed. Calibrate and repair equipment as necessary.
Attend to division-owned or -supplied common equipment (e.g., autoclaves, glasswash systems, film developers, incubators, microscopes, shakers, camera systems) ensuring items are operable and well maintained; monitor maintenance contracts, repairs as needed. Similarly, set-up and maintain specialty areas (e.g., cold rooms, TC rooms, wet lab configurations) as needed.
Coordinating with the Division Operations Officer (DOO), oversee freezer farms, bottle farms (gas cylinders), central services (CO2), dry ice, DI water, assorted gases, air, vacuum and other specialty resources for laboratories that need to be available 24/7, are provided and monitored; install and maintain alarms and notification systems accordingly; train personnel to respond in emergencies.
Working with EHS, oversee for approximately 200 biosafety cabinets, management and annual certifications of hoods and cabinets across the division.
Coordinate between labs and internal units fire and safety inspections; EHS certifications; following up to ensure citations are adequately addressed. Work to instill and enforce security processes and safety guidelines across the division. Coordinate testing of alarm and security systems, training of emergency response teams.
Liaison with division and Institute staff to support, computer and A/V set-ups, ergonomic workstations, providing connections and resources to establish and maintain efficient work areas.
As part of the DOO's management team, work closely with other division managers to accomplish goals of the division. Support division facilities and resource/recharge centers (e.g., glassware, autoclave, sequencing, MGERC, etc.) to ensure continued operations.
Will provide direct supervision to division Procurement/Shipping/Receiving staff and other related personnel as requested by DOO. Coordinate schedules, establish documentation processes, ensure cross-training among team. Will provide feedback on job performance to DOO as it relates to salary and disciplinary action.
Working with division staff, participate in semi-annual property services equipment surveys, space surveys, other data collection efforts.
As requested, act on behalf of the DOO to interface with division and Institute staff, outside vendors, providing services and information as needed.
Assist the DOO to track space allocations across the division, keeping floor plans and occupancy notes current; review and provide suggestions for consolidation or improvement of space utilization; provide reports as needed.
Maintain currency in the facilities management field by attending meetings, workshops, obtaining certifications and networking, to enhance the Institute's ability to operate effectively. Retain awareness of Cal/OSHA and other state and federal regulations and requirements.
As part of the division emergency response team, be on call 24/7.
Other duties as assigned.
8-10 years of hands-on experience with construction and renovation, especially in a university setting.
Background in carpentry, mechanical, plumbing, electrical, drafting and/or interpreting blueprints and construction plans.
Strong project management and trouble-shooting skills.
Prior experience supporting biomedical research operations.
Ability to work independently to see multiple projects to a successful completion simultaneously.
Excellent written and verbal communication skills, interpersonal skills, and the ability to communicate clearly and tactfully.
Demonstrated experience partnering with all levels of leadership, staff, students and faculty.
Master's in related field; certifications in MEP areas; supervisory experience.
