Reporting to the Director, Facilities Budget & Finance, the Assistant Director performs advanced functions in conjunction with day-to-day administration of outsourced contracts, leases, and warehouse services. Contract and lease administration include, but is not limited to, monitoring service providers' performance to ensure contract and lease compliance, assisting with interpretation of complex contract language, drafting scope of work and RFPs for new contracts, and amendments to existing contracts. This position works with various shops and disciplines to properly manage contracts by verifying the receipt of goods and services and invoices and ensuring the terms and conditions of the contract are met. The Assistant Director also follows procurement guidelines and inputs data for purchase orders and serves as backup in the absence of the Director.
Required Qualifications:
This position requires experience with contract management and performance techniques along with the ability to negotiate resolutions on contract compliance issues. Experience with various methods of communication. Ability to quickly analyze options and make logical decisions. This work requires experience in developing and documenting processes and procedures, as well as the ability to read and fully comprehend complex documents. Ability to work independently and in a team environment while being attentive to detail and able to manage multiple, competing priorities and work with people from diverse backgrounds at all levels of the university. Strong proficiency with current office software like Microsoft Office.
Preferred Qualifications:
Experience developing spreadsheets and tracking costs. Experience with budget development and knowledge of accounting practices. Technical writing skills for developing and drafting documents. Experience with contract development. Supervisory experience. Experience in the fields of materials management, contracts, and procurement, facilities management, warehouse services, construction management or business administration, or any acceptable combination of each.
